Scargill House is home to a Christian community who welcome people for holidays, conferences and retreats in the spectacular Yorkshire Dales. We share hospitality, creativity, fun and really good food together – refreshing and equipping churches, groups and individuals, of all faiths and none.

We are committed to protecting and respecting your privacy. This privacy notice explains what personal information we collect from you and what we do with that information. Scargill Movement is the data controller of your personal data. What personal information we collect from you

When you contact us by phone, e-mail or post, we will securely store the contact details and personal information you give us so we can respond appropriately to your request.

When you fill in a booking request form, contact form or child & young person registration form, our website securely processes and stores what you enter, and e-mails it to us.

When you visit our website, the server and website security software may process and store your computer’s IP address (which contains approximate location information) within the scope of the law, to prevent unauthorised access and ensure our website works as intended.

How long do we retain any personal data

We will retain your data for as long as the law requires us to do so, or where there is either a contractual requirement or legitimate reason to do so. In most cases it is unlikely that we would retain your data beyond seven years. There may be circumstances where we may be required to hold data for longer, for example where there has been a safeguarding concern or following a serious accident.

How we use your information

  • To respond to your request – the major use of your information will be to respond to the request you have made to us. This includes making bookings and arrangements for visiting us; processing donations you make to us; managing your role with us as a working friend or community member, etc.
  • To run our internal operations – we also use your information for our internal communications and operations. This includes internal communications about your visit such as special dietary information or child & young person registration forms; personnel record keeping; analysis of visitor occupancy, etc.
  • To communicate with you about us – if you have given us consent, we will send you our programme and newsletter each, twice a year and other news and offers from time to time by e-mail. We may also get in touch with you after your stay with us to ensure everything was just right and see if there is anything we could have done differently.

How and where your information is stored

  • Website – our website uses a securely encrypted connection to transfer any information you submit, and stores it in a database on the server which is based in the UK. Regular encrypted backups are stored on Dropbox.
  • Scargill House – we also store your information at Scargill House. Electronic records are stored and backed up on our secure servers and paper records are kept locked.
  • Email – our e-mail system is hosted by Google who may store information outside the European Economic Area.

Disclosing your information

We only share your personal information when it is necessary to do what you have asked us to do, or if we are legally obliged to. Any sub-contractors we use in this way, we have a written agreement to ensure your personal information is treated securely and in accordance with this privacy notice.

Access to your information

You have the right to :

  • know what information we hold about you
  • ask us to correct or update your information
  • ask us to change your communication preferences
  • remove your information (unless there’s a legitimate reason why we need to retain it)
