“Large Group” bookings are regarded as groups of 40 or more people. 

Please refer to the “Terms and conditions – small group” if you will be bringing less than 40 people and you have more than 26 weeks until your arrival date. If you are unsure what set of terms and conditions apply to you, please contact the Admin Team.

Provisional bookings

Provisional bookings are made by filling in the booking form on the website. The link and password to the form is provided by groups@scargillmovement.org together with a group code. Provisional bookings can then be held for up to 21 days without a deposit. 

The arrival date must be confirmed at least 26 weeks in advance to secure the booking.

Payment

Group bookings for large groups require a non-refundable deposit of £500 to complete a booking.  Bookings are not complete until you have received confirmation from Scargill Movement.

A second deposit is due 17 weeks before arrival based on group size at the rate of £50 per adult and £20 per child, less the initial deposit amount. 

The balance of the fees is required by 4 weeks before arrival. 

If you are able to pay by bank transfer we’d be most grateful, as there are no charges to us if you use this method. Our bank details are:

Please use your invoice number and/or the group reference as a payment reference. Alternatively you can either put a cheque in the post (payable to Scargill Movement).

Prices include VAT where applicable. We reserve the right to alter prices to reflect any change in the VAT rate.

Our bursary fund enables us to offer, at our discretion, a discount to those who otherwise may not be able to afford a visit. To enquire about a bursary, please send a request to the Director, Phil Stone. 

Confirmation of group details

By 26 weeks before the arrival date the group size of more than 40 people must be confirmed.

By 17 weeks before the arrival date an agreed minimum group size must be committed to, including the breakdown of adults & children. After this there is the option to request additional people or rooms but availability is not guaranteed and is by mutual agreement.

By 6 weeks before the arrival date the room allocation for all group members must be committed to including any special requirements. 

Cancellation

Sadly, we have to apply charges for all cancellations. We therefore recommend people take out appropriate travel insurance as the following charges will be made should you cancel or reduce your numbers:

• Cancellation more than 26 weeks before arrival date:

The deposit is forfeited. Subject to availability, transfer of dates might be possible,  including transfer of initial deposit to new dates. 

• Cancellation less than 26 weeks and more than 17 weeks before arrival date:

The deposit is forfeited and a cancellation fee of £1000 is payable.

• Reduction in group size to less that 40 people more than 17 weeks before arrival date:

This will be charged at £37.50 per person for the difference below 40 people and this will be added to the second deposit invoice

• Reduction in group size or cancellation less than 17 weeks and more than 4 weeks before arrival date:

The deposit will be forfeited at the rate of £50 per adult & £20 per child. This will be reflected in the final invoice at 4 weeks before the arrival date. 

• Reduction in group size less or cancellation less than 4 weeks before arrival date:

For reductions to the agreed group size or cancellations of the entire booking, the full fees are forfeited.

Other points to note

• You may share the house with a small number of others guests
• All under-18s must be booked in with an adult. This adult is responsible for the child at all times during their stay
• We require at least 1 adult for every 8 children as part of the booking
• Smoking is not allowed in any of our buildings
• As much as we love animals at Scargill House we do not permit our guests to bring pets with them when they stay with us, including day visits. The ONLY exception is for assistance dogs. It is not permitted to leave any animals in a car while you attend an event at Scargill House
